25Live Overview and Support
Overview 25Live is a web-based scheduling and space management system. EWU utilizes 25Live to assign classes to classrooms, request spaces on campus for events, and to populate university calendars. EWU departments utilize 25Live for a variety of purposes, including: Academic Scheduling: Assign classrooms to classes utilizing Schedule25 and Lynx within 25Live Event Planning: Review requested events and assign appropriate campus resources Academic Departments: Request campus spaces for course-related and academic program-related meetings and events Business Departments: Request campus spaces for departmental meetings and events Student Organizations: Through an integration with EagleSync, student organizations are able to request spaces on campus Logging In To login, simply visit http://calendar.ewu.edu/ and use your SSO to login. You can access the 25Live link from the A-Z menu on InsideEWU. Employees: By default, employees are assigned to an employee security group with generic privileges when first logging into 25Live. If additional privileges are needed, please contact Event Planning. Students: Students are not able to request spaces directly via 25Live. Students must request spaces via EagleSync if the event is associated with a student organization. Creating an Event for Campus Calendars
EWU faculty & staff can publish events to three different EWU calendars using 25Live. To add an event to one or multiple of these calendars, then you will need to follow the instructions below. Campus Events Calendar EWU's internal event calendar (primarily for students, faculty, & staff) EWU's public event calendar (primarily for prospective students, alumni, & community) EWU's EagleWell Calendar EWU's Trainings Calendar (primarily for employee trainings) If you have questions about your event's details, please contact Event Planning. If you have questions about ensuring your event appears on one of the campus calendars, please contact 25Live@ewu.edu. Scheduling an Event Basic Event Details Login to http://calendar.ewu.edu/. You can access the 25Live link from the A-Z menu on InsideEWU. Employees: By default, employees are assigned to an employee security group with generic privileges when first logging into 25Live. If additional privileges are needed, please contact Event Planning. Students: Students are not able to request spaces directly via 25Live. Students must request spaces via EagleSync if the event is associated with a student organization. Otherwise, they can reach out directly to Event Planning for guidance. Select "Create an Event". Enter an appropriate Event Name and Event Title for Campus Calendars. Event title is what will appear on the calendar. You MUST select one of the following Event Types: Course Related 25L - an event or meeting related to a specific course Open Event 25L - an event promoted to others outside your organization Open Meeting 25L - a meeting promoted to others outside your organization Virtual Event 25L - any virtual event or meeting Select the Organization hosting the event. If the organization is not listed or listed incorrectly, contact 25Live@ewu.edu. Enter a Maximum Headcount, Event Description, Event Date and Time. Click Additional Time and enter any Pre-Event or Post-Event Time you may need. Select days you'd like to your event to Repeat, if needed. Select your preferred Location(s). Options will be based on headcount and date/time. If the event is hosted virtually, select "A Virtual Meeting Location". Complete the Requirements section as needed. Add to Campus Event Calendar To ensure the event will appear on a campus event calendar, follow these steps: Select "Yes" for the Add to Event Calendar Custom Attribute. Select a Category that fits your event. See examples of how to categorize events here: Event Calendar Audiences & Categories. Select whether the event is open to the following audiences: Faculty & Staff Alumni & Community Students & Families Add to EagleWell Calendar To ensure the event will appear on the EagleWell calendar, follow these steps: Select "Yes" for the Add to EagleWell Calendar Custom Attribute. Select whether the event is open to the following audiences: Faculty & Staff Alumni & Community Students & Families Add to Trainings Calendar To ensure the event will appear on the Trainings calendar, follow these steps: Select "Yes" for the Add to Trainings Calendar Custom Attribute. Submitting Your Event If you are unsure about any selections you made, add a Comment. Once you have completed all fields, you will check the Affirmation box. You will then be able to save your event and it will be sent to Event Planning for review. After Submitting Event Once an event has been submitted that includes the Event Calendar custom attributes, Event Planning will verify the following information: Event Title for Campus Calendars - Ensuring it is free of spelling and grammatical errors and clearly depicts the event. Event Description - Ensuring it is free of spelling and grammatical errors and clearly explains the event details. Custom Attributes - Ensuring the attributes are selected that align with the event. Comments - Reviewing to ensure no additional modifications are needed. If you would like your event to appear on EWU's EagleWell calendar, then you will be prompted to select "custom attributes" once you've selected an open event or meeting type. Human Resources will review your event to ensure it is appropriate for the calendar. If you do not see the necessary custom attributes, please contact 25Live@ewu.edu. Event Calendar Audiences & Categories
Audiences Students & Families Faculty & Staff Alumni & Community Categories Admissions & Orientations Examples: Admissions open house, new student orientation, welcome week events, etc. Arts & Culture Examples: Plays, musicals, music program events, concerts, etc. Campus-Wide Only used for campus-wide events that do not fit a specific category. Examples: Homecoming events, Welcome Week events, etc. Careers & Networking Examples: Career Center events, recruiter tabling, alumni & foundation networking events, etc. Ceremonies & Festivals Examples: Awards ceremonies, Alumni Awards, food festivals, Neighborfest, ROTC honors/recognitions, etc. Diversity & Inclusion Events with an emphasis on promoting diversity & inclusion. Examples: Almost anything hosted by the Pride Center, MCC, or any of the cultural studies programs, etc. Financial Aid Deadlines Only used for Academic Calendar events. Do not select this category. Please reach out to regonline@ewu.edu if a financial aid deadline needs to be added to the calendars. Health & Safety Examples: Safety drills, EWU police events, Counseling and Wellness Services events, etc. Holidays & Breaks Only used for Academic Calendar events. Do not select this category. Please reach out to regonline@ewu.edu if a holiday needs to be added to the calendars. Instruction Dates Only used for Academic Calendar events. Do not select this category. Lectures & Forums Examples: General interest forums, academic lectures that are open to multiple campus groups, etc. Service & Fundraisers Examples: Community Engagement events and community service opportunities, philanthropic events, anything raising funds, Giving Joy Day, Giving Tuesday, etc. Sports & Recreation Examples: Any sporting events Athletics submits that are open to the public, club sport matches, intramural tournaments, HS games hosted on campus, etc. Trainings & Workshops Examples: HR events, training seminars and workshops, etc.

Favoriting Events, Searches, Locations, Organizations, & Reports in 25Live
Starring is a quick and easy way to bookmark events, locations, and organizations that you view often, such HUS 207 the multimedia classroom: Starred events and locations will automatically show up on the 25Live dashboard. Upon logging in, you will be just one click away from reviewing event details and checking location availability.

Look Up Space Availability in 25Live
Accessing 25Live Access 25Live from the A-Z menu on InsideEWU. Once logged in, you'll be taken to your 25Live Dashboard. You can return to the dashboard at any time by clicking the 25Live Pro link on the upper right menu bar. Looking Up Space Availability Quick Search From your 25Live Dashboard, in the Quick Search box, find the Search Locations field and type the building abbreviation and room number you want to look up. Search Results Once you've run your search, your results will appear below. Location Details Hover over the space name in the list to see details about the location. Calendar View Choose the Calendar tab to view events in the location in a calendar format. Daily Availability View Choose the Availability tab to see daily availability. Weekly Availability View Choose the Availability Weekly tab to see weekly availability. You may adjust the number of weeks to view at once. Modifying or Changing your Event in 25Live
You can change or edit events yourself if they have not been confirmed – or those that are in a “tentative” status. To cancel or change an event that has been confirmed, open the event in 25Live and select More Actions/Email Event Details and write to the Scheduler of the event.
